Job Title: Contracted Event Coordinator – Artists Sunday Market (hosted on November 30th, 2025)
Reports To: Executive Director
Status: Independent Contractor
Contract Dates: Approx. October 5, 2025– December 5, 2025 - Estimated 80 hours total
Compensation: $2,000 paid in monthly installments
Location: Laramie Plains Civic Center (with some remote flexibility)
About the Artists Sunday Market
The Artists Sunday Market is a celebration of local creativity and community connection, featuring visual artists, makers, and performers in a vibrant public market setting. Hosted at the Laramie Plains Civic Center, the event is part of a national movement to support artists during the holiday season and promote art as a meaningful gift. Now in its fourth year at the Civic Center, this event draws participation from 60+ artists, local supporters, and hundreds of attendees.
Position Overview
The Contracted Event Coordinator will oversee the planning, promotion, and successful execution of the Artists Sunday Market. This position plays a key role in creating an inclusive, engaging, and well-organized experience for both vendors and visitors. The ideal candidate is detail-oriented, proactive, and passionate about supporting local artists and creative entrepreneurs.
Key Responsibilities
Planning & Logistics
Develop and maintain the event timeline, production schedule, and vendor layout
Coordinate with Civic Center staff for facilities access, equipment, and set-up/tear-down needs
Secure permits or insurance, if applicable
Manage vendor registration process and maintain communication with participating artists
Vendor & Partner Coordination
Act as the primary point of contact for artists and vendors
Facilitate equitable access and ensure vendor compliance with event guidelines
Recruit local performers, food vendors, sponsors, and other community partners
Marketing & Promotion
Collaborate with LPCC staff on a marketing strategy (social media, press releases, posters, etc.)
Assist with content creation and scheduling for digital promotion
Represent the event in community meetings and outreach efforts
On-Site Event Management
Oversee day-of-event operations including check-in, troubleshooting, and overall flow
Manage a small team of volunteers or support staff
Ensure a safe, welcoming environment for all participants
Post-Event Duties
Facilitate vendor feedback survey
Debrief with LPCC staff and prepare a brief event report with recommendations for future improvements
Qualifications
Proven experience coordinating public events, markets, or festivals
Strong organizational and time-management skills
Clear communication and interpersonal skills, especially working with artists and diverse stakeholders
Ability to work independently and meet deadlines
Familiarity with local arts community a plus
Basic graphic design or social media skills a bonus
